Who is responsible

What we collect and why
- Inquiries (Check Date form). Name, email, optional phone, event type, date, venue, services of interest, your message, the time you gave consent, and a one-way hash of your IP address for spam protection. We use this to answer your inquiry and prepare a proposal. Legal basis: your consent and steps prior to a contract (GDPR art. 6(1)(a) and (b)).
- Your account. Email address and a securely hashed password, used to sign you in on this website and in LiveGallery. Legal basis: contract (art. 6(1)(b)).
- Orders. Name, delivery and billing details, the products you order and any text you ask us to print. Payment card details are handled by Stripe and never reach us. Legal basis: contract and legal obligations (art. 6(1)(b) and (c)).
- Service guide. The location, date and needs you type are sent to an AI model to generate suggestions. They are not stored by us. Please do not enter sensitive details.
- Security. Cloudflare Turnstile checks that forms are sent by a person. Our hosting records technical request logs for security and troubleshooting.
Who processes data for us
- Supabase (database and accounts, hosted in the EU — Paris, France)
- Cloudflare (website delivery and Turnstile spam protection)
- Lovable (website hosting platform)
- Resend (sending inquiry and order emails)
- Stripe (payments)
- Google Fonts (font delivery), and YouTube and Facebook (films, loaded only when you press play — Facebook may then set its own cookies)
Some of these providers are based outside the EU. Where data leaves the European Economic Area, it is protected by the EU–US Data Privacy Framework or the European Commission's standard contractual clauses.
How long we keep it
- Inquiries that do not lead to a booking: 24 months after our last contact.
- Accounts: until you delete your account or ask us to.
- Orders and invoices: as long as Belgian accounting and tax law requires (currently up to 10 years).
- Spam-protection hashes: 24 hours.
Cookies and local storage
We use only what is needed to run the site: keeping you signed in, your cart, and spam protection. We do not use advertising or analytics cookies.
Your rights
You can ask to access, correct or delete your data, to restrict or object to its use, to receive it in a portable format, and to withdraw consent at any time. Email info@smartvideo.be. You can also lodge a complaint with the Belgian Data Protection Authority, dataprotectionauthority.be.
